Every candidate in a job sits in exactly one stage. The stages are the same on every job:
Applied > Screened > Interviewed > Offer > Hired, and Rejected from any stage.
How the job page shows the stages
The stage flow across the top of the Candidates tab splits two of the stages so you can see who needs you:
| Step | Who is in it |
|---|---|
| All | Everyone on the job. |
| Applied | New candidates: uploaded, imported, added by hand or applied on your careers page. |
| Screened | Candidates you moved forward, before an interview is booked. |
| Interviewing | Screened candidates with an interview booked or in progress. |
| To review | Candidates whose interview is finished, waiting on a hiring manager. |
| Shortlist | Candidates a hiring manager chose to advance. |
| Offer | Candidates you made an offer to. |
| Hired | Candidates you hired. This step shows once someone is hired. |
| Rejected | Candidates you rejected. |
What moves a candidate on its own
- Sending an interview invite moves the candidate to Screened (shown as Interviewing while it is booked or running).
- A finished interview moves the candidate to Interviewed (shown as To review, then Shortlist if a hiring manager advances them).
- A resume score never moves anyone. Moving a candidate after screening is always your decision.
Move one candidate
- On the Candidates tab, click the candidate to open their details.
- Use the stage menu at the top of the panel to pick the new stage.
In the Board view, you can also drag a candidate's card to another column.
Act on several candidates at once
- In the List view, tick the candidates.
- Use the bar that appears at the bottom of the screen:
- Move to stage
- Send: interview invites to everyone selected. See Send interview invites.
- Share shortlist: see Share a shortlist.
- Tag
- Export CSV
- Reject
Sending invites to several candidates at once and exporting a CSV are on Pro, Enterprise and the Pro trial.
Reject a candidate
- Open the candidate and click Reject, or select several and click Reject on the bar.
- Choose a Reason. It goes on the audit trail.
- Optional: add a Note and tick Send a decline email. The note is included in the email.
- Click Reject.
Any interview the candidate hasn't started is cancelled and its credit is released. If the candidate has an open accommodation or human review request, Infyva shows it first. Answer it before you reject, or tick the box to say you read it and still want to reject. That choice is recorded in the audit log.
