Connect Ashby ​

Who can do thisWorkspace owners and admins connect. Everyone on the team can import jobs.

Import Ashby jobs and applications into Infyva, send the Infyva interview from an Ashby stage, and send stage changes and results back with the score, each competency and the report link.

Before you start ​

You need:

  • A Pro or Enterprise plan, or the Pro trial.
  • The Owner or Admin role in Infyva.
  • Access in Ashby to create API keys and webhooks (an Ashby admin).

The webhook secret is required for Ashby

Unlike the other ATS connections, Ashby needs a Webhook secret token before you can connect. Make one up in Part 2 and use the same value on your Ashby webhook in Part 4.

Part 1: Create an API key in Ashby ​

  1. In Ashby, go to Admin, then Integrations, then API Keys.
  2. Create a key with read access to jobs, candidates, applications and interviews, and write access to candidates and applications.
  3. Copy the key.

Part 2: Connect Ashby in Infyva ​

  1. In the sidebar, click Settings, then Integrations.

  2. On the Ashby card, click Connect.

  3. Fill in the Connection form:

    Webhook secret token (required)A long random secret you make up. Paste the same value as the secret token on your Ashby webhook. Every delivery's signature is checked with it; unsigned deliveries are refused.

  4. Click Test connection, then Connect.

The key and secret are encrypted and never shown again. The Connection panel shows Connected, Write-back, Webhook URL (owners and admins only) and Last sync. Write-back is always on for Ashby.

Part 3: Import jobs and map stages ​

The Jobs in Ashby panel lists your open Ashby jobs. Click Refresh to reload it.

  1. Next to a job, choose New Infyva job, or Map to: and an existing Infyva job.
  2. Click Import. Click Sync now later to pull in new candidates. Nobody is imported twice.
  3. Click Stage mapping. For each Infyva stage, pick an Ashby stage, leave Match by name, or pick Don't move in the ATS.
  4. To send the interview from an Ashby stage, set Send the Infyva interview when a candidate reaches to that stage. Candidates already at that stage are invited on the next sync or webhook. Each candidate is invited once.
  5. Click Save mapping (or Save and import).

Without a webhook, mapped jobs re-sync every six hours and whenever you click Sync now.

Part 4: Add the webhook for faster sync ​

  1. In Infyva, click Copy next to Webhook URL on the Ashby page. The URL ends in /api/v1/ats/webhooks/ashby/ and a token unique to your connection.
  2. In Ashby, go to Admin, then Integrations, then Webhooks, and click New.
  3. Pick the webhook type, paste the URL as the request URL, and enter the same secret token you saved in Infyva.
  4. Ashby creates one webhook per type. Repeat for each type of change you want to sync within a minute.

Ashby signs each delivery with an Ashby-Signature: sha256=<hex> header, an HMAC-SHA256 of the request body made with your secret token. Infyva refuses any delivery without a valid signature.

Any event type works. Infyva reads the affected job again from Ashby with your key and does not trust the event's contents. The same delivery received twice within 24 hours is ignored.

The Ashby Assessments panel ​

Once connected, the Ashby page also shows Ashby Assessments. It lets you start the Infyva interview from a stage in Ashby and get the result back as an Ashby assessment, so it shows in the candidate's assessments and in Ashby's reports.

Infyva's listing as an Ashby assessments partner is waiting on Ashby. Until it is live, results go to the candidate in Ashby as a note with the same score, band, competencies and report link. When Results in Ashby says Sent as an assessment, results arrive as an assessment instead.

Once Infyva appears in Ashby's integrations:

  1. On the Infyva Ashby page, click Create key under Assessment key. Copy it now: it is not shown again. If you lose it, click Replace key.
  2. In Ashby, open Admin, Integrations, find Infyva and paste the key.
  3. In a job's interview plan in Ashby, add the Infyva AI interview assessment to the stage that should send it. Map the Ashby job to an Infyva job first.

You don't need the partner listing for the trigger stage in Part 3.

Check the Sync log ​

The Sync log lists every import, webhook and update sent to Ashby. Filter it with All, Failed, Retrying or Sent.

An update Ashby can't take right away retries on its own after 1 minute, 5 minutes, 30 minutes, 2 hours and 6 hours. If Ashby rejects the key, the update fails at once and asks you to reconnect. Click Retry on a failed update to send it again.

Disconnect Ashby ​

  1. On the Ashby page, click Disconnect.
  2. Optionally tick Also delete imported candidates who never had an interview.
  3. Click Disconnect.

The saved credentials are deleted and nothing more is sent to or read from Ashby. Imported jobs and candidates are unlinked, and stored resume links from Ashby are removed. Interviews and reports stay in Infyva.
