Share a shortlist

Available onEvery plan
Who can do thisThe job's owner, and workspace owners and admins

A shortlist is one link with several candidates side by side. The hiring manager compares them, opens anyone to read their answers, then decides on each one. They don't need an Infyva account.

Share a shortlist

  1. Open the job.
  2. Tick the candidates you want to share, from 1 to 12. Each one needs an interview.
  3. In the bar that appears, click Share shortlist.
  4. Under Hiring manager, pick one of the job's hiring managers, or choose Someone else and enter Their email and Their name (optional).
  5. Add a Note if you want. It is shown at the top of the shortlist.
  6. Under Link works for, choose 7 days, 14 days or 30 days. The default is 14 days.
  7. Leave Email the link to them ticked to have Infyva send it, or clear it to send it yourself.
  8. Click Share shortlist.

The dialog then shows Shortlist shared with the link. Copy it now if you need it: for security, Infyva keeps only a fingerprint of the link and can't show it again.

Candidates without an interview yet are left off, and the dialog tells you who.

On Enterprise with client branding, a client's saved contacts are suggested as people to share with. See Client branding for agencies.

What the hiring manager sees

The shortlist page shows how many candidates there are to review, who shared it, and Link works until {date}. It says Decision support, not a decision.

  • Candidates side by side with each one's Scorecard, Strengths, Concerns, Probe in the next round and Integrity.
  • Your note, as Note from the recruiter.
  • A count of how many they have decided, such as 3 of 5 decided.

For each candidate they choose Advance, Send back or Reject, and can add a Note for the recruiter. Each decision is logged with their email.

Opening the link never records a decision on its own. One decision is recorded per candidate. If they try to change it, they see A decision is already recorded for this candidate. Ask the recruiter if you need to change it.

Turn off a shortlist

  1. Open the job, tick any candidate and click Share shortlist to open the dialog.
  2. Under Shared from this job, find the shortlist. Each one shows Open until {date}, Turned off or Expired.
  3. Click Turn off.

The job's owner or a workspace admin can turn off a shortlist.
